# Connect Newie to Your Coaching App

> Use Zapier to send Newie customers into Trainerize, Everfit, HubFit, Kahunas, or another coaching app after checkout.

## Overview

Newie and a coaching app work best when each system keeps its job. Newie handles checkout, billing, agreements, receipts, and customer records while the coaching app handles delivery and client engagement.

## What This Connection Handles

A good Zap keeps the handoff between payment and coaching delivery clean. Newie can trigger the next admin step when the right purchase, subscription, or payment event happens.

* Send paid customers into the right program, group, challenge, or onboarding flow
* Keep future-start customers from getting app access too early
* Flag overdue, paused, or ended customers so access can be reviewed
* Reduce manual copying of names, emails, start dates, and program details between tools

## Before Building the Zap

Make the Newie offer and coaching-app setup match each other before opening Zapier.

| Check                         | Why it matters                                                                                   |
| ----------------------------- | ------------------------------------------------------------------------------------------------ |
| Newie service | The service that triggers the coaching-app action |
| Coaching app program or group | The program, group, package, or onboarding path the customer enters |
| Start date | Future-start programs may need admin setup before paid access begins |
| Required app fields | Some coaching apps require program IDs, package IDs, form IDs, group IDs, or onboarding-flow IDs |
| Offboarding process | Not every coaching app exposes a clean archive, pause, or remove-access action in Zapier |

If the coaching app does not expose the action you need in Zapier, use Newie to trigger a Slack or email notification and handle that part of the setup manually.

## Choose the Newie Trigger

| Workflow                                           | Newie trigger                                                                     | Use                                                                                     |
| -------------------------------------------------- | --------------------------------------------------------------------------------- | --------------------------------------------------------------------------------------- |
| Add a paying subscription client to a coaching app | Subscription Started | Grant app access when billing starts and the subscription becomes active |
| Prepare a customer before a future start date | Subscription Created | Create an admin task or draft record before paid access starts |
| Add a one-off buyer to an app or challenge | One-Off Purchase Complete | The customer bought a paid-upfront program, consult, challenge, assessment, or resource |
| Run something only after payment is confirmed | Payment Paid | Wait for confirmed payment across subscriptions, instalment plans, or one-off purchases |
| Tell you to review access | Payment Overdue, Payment Uncollectible, Subscription Paused, or Subscription Ends | You may need to pause, archive, remove access, or follow up manually |

For paid app access, use **Subscription Started** rather than **Subscription Created** when the service has a future billing start date. Subscription Created fires at purchase time; Subscription Started fires when billing starts and the subscription becomes active.

## Coaching App Actions to Look For

Action names and required fields can change by app, plan, and connected workspace. Use this table as a setup guide, then confirm the exact action inside Zapier before relying on it.

| Coaching app | Actions to look for | Notes |
| ------------------ | -------------------------------------------------------------------------------------------- | ----------------------------------------------------------------------------------------------------- |
| ABC Trainerize | Create or update client, add tag, add to group, assign program | Add or update the client by email, then assign the right trainer, program, tag, or group |
| Everfit | Invite client, register client, assign onboarding flow, assign resource collection | Some assignment actions need an existing Everfit client ID or resource ID |
| HubFit | Add client, add to community, assign workout plan, assign nutrition plan, trigger onboarding | Useful when HubFit is the delivery app for programs, communities, onboarding, workouts, and check-ins |
| Kahunas | Create client | Usually needs package, plan start, check-in form, and related IDs ready before the Zap is built |
| Other coaching app | Create client, invite user, add tag, assign program, or send notification | Confirm the exact action exists inside Zapier before relying on it |

## Recommended Zap

<Steps>
  <Step title="Create the Newie service">
    Set up the coaching program as a subscription, one-off purchase, or instalment plan in Newie. For a fixed-length subscription, set Number of Payments to a fixed number.
  </Step>

  <Step title="Prepare the coaching app">
    Create the program, group, package, tag, onboarding flow, or resource collection in the coaching app before building the Zap.
  </Step>

  <Step title="Connect Newie to Zapier">
    If you have not connected Newie yet, follow [Connecting Newie to Zapier](/integrations#connecting-newie-to-zapier) first. In Zapier, create a new Zap and choose Newie as the trigger app.
  </Step>

  <Step title="Choose the trigger">
    Use Subscription Started for subscription-backed app access, One-Off Purchase Complete for paid-upfront programs, or Payment Paid where the workflow needs confirmed payment.
  </Step>

  <Step title="Filter to the right service">
    If the account has multiple services, add Filter by Zapier or Paths by Zapier so this Zap only runs for the matching Newie service. Filter on the Offering ID, not only the service name.
  </Step>

  <Step title="Find the Offering ID">
    In Newie, open **Sell → Services**, tap the `...` menu next to the service, open the share sheet, and tap **Copy Offering ID**. Paste that ID into the Filter by Zapier condition for the service you want this Zap to handle.
  </Step>

  <Step title="Add the coaching app action">
    Choose the coaching app as the action app. Map Newie customer email, name, service name, and start date into the app fields. Add the program, group, package, tag, or onboarding-flow fields required by the app.
  </Step>

  <Step title="Test with a real purchase">
    Test the Zap and confirm the customer appears in the coaching app exactly where expected.
  </Step>

  <Step title="Turn the Zap on">
    Once the test is correct, turn on the Zap and check the first live customer manually.
  </Step>
</Steps>

## Multi-Program Setup

Avoid one Zap that sends every Newie customer into the same app program.

Different Newie services often need to map to different coaching-app programs.

Use one of these patterns:

* One Zap per Newie service, each with a Filter by Zapier step that checks the Offering ID
* One Zap with a Filter when only one program continues through the Zap
* One Zap with Paths when different Offering IDs route to different app actions
* A notification-only Zap when you need to review the customer before assigning access

### Filter by Offering ID

Zapier needs the Newie service's Offering ID so it can tell which service was purchased.

1. In Newie, open **Sell → Services**.
2. Tap the `...` menu next to the service.
3. Tap **Copy Offering ID** in the service share sheet, or copy `offering_id` from a Newie Zap sample for the service when you are setting up the filter outside the app.
4. In Zapier, add **Filter by Zapier** after the Newie trigger.
5. Set the filter to continue only when the Newie Offering ID exactly matches the ID you copied.

Avoid filtering only on the service name; names can change or be reused.

## What to Keep in Newie

Keep these records in Newie:

* What the customer bought
* How the customer pays
* Subscription, instalment plan, and payment status
* Invoices, receipts, failed payments, and overdue status
* Terms of Service and agreed terms records when enabled
* Welcome Emails and customer purchase history

Keep coaching delivery, program content, check-ins, messages, workouts, habits, nutrition, and progress notes in the coaching app.

## Human Review Step

Add a notification and manual review step for cases like:

* You need to approve the customer's goals, health details, or program fit first
* The customer bought a consult before choosing the full program
* The app action needs fields that are not available from the Newie trigger
* A custom program, custom start date, or manual onboarding path is part of the sale
* The workflow affects access removal, pause handling, or customer support
