Use this when you need deposits, package payments, payment plans, final balances, and clear client terms for photography or creative work. Newie can manage the payment record while the creative work, delivery, and scheduling stay in your normal workflow.

What the Photographer Needs

You usually need to secure the date, confirm what is included, collect a deposit, and make sure the final balance is paid before the shoot, event, or file delivery. Use Newie for the deposit, payment plan, terms, receipt, and customer record. Keep shoot planning, gallery delivery, editing, and client communication in the normal photography workflow.

What Protects the Photographer

  • A booked date is inventory that cannot easily be resold if the customer cancels late
  • The client needs to know what is included before the shoot, not after seeing the gallery
  • Final balances should be clear before delivery, especially for weddings, events, galleries, albums, or commercial files
  • Usage rights, raw files, editing limits, and turnaround time need to be agreed before payment
  • Add-ons such as extra edits, prints, rush delivery, or album upgrades should have their own payment path

Common Setup

  1. Create One-Off Services for booking fees, deposits, shoot fees, mini sessions, or paid-upfront packages
  2. Create Installment Plans for larger packages paid over scheduled payments
  3. Create separate services for different package levels, session types, or add-ons
  4. Use Terms of Service for booking terms, cancellation rules, usage terms, payment expectations, or delivery conditions
  5. Use Welcome Emails for preparation guides, booking forms, location details, questionnaires, or upload links
  6. Use groups to organise services by package type, photographer, location, campaign, or offer

Deposit to Final Delivery Flow

1

Customer enquires or books

The customer chooses a package or talks to you first.
2

Send the deposit or package link

Use a One-Off Service, custom link, or Installment Plan depending on the payment structure.
3

Customer agrees and pays

If Terms of Service is enabled, the customer accepts the agreement before paying.
4

Share next steps

The Welcome Email can include preparation instructions, location details, booking forms, questionnaires, or delivery expectations.
5

Manage future payments

Use an Installment Plan for scheduled payments, or create separate One-Off Services for balance payments or add-ons.

Photography Terms to Define

  • Deposit or booking fee and whether it is refundable
  • Shoot date, location, session length, and included deliverables
  • Final balance due date
  • Cancellation or rescheduling rules
  • Usage rights, image delivery, and whether raw files are included
  • Whether final files, albums, prints, or galleries are delivered only after full payment
  • How extra edits, prints, rush delivery, or add-ons are purchased
