Match Newie deposits in QuickBooks to their payout reports. If you also need a customer-level record for every payment, you can use Zapier to create either a sales receipt or an invoice with a payment applied.

Match the bank deposit

  1. Connect the bank account receiving Newie payouts in QuickBooks’ Banking section.
  2. When a deposit appears, open Payouts in Newie, select the matching payout and choose Download → PDF or CSV.
  3. Reconcile the deposit using the report and attach it to the record. If the sales already exist in QuickBooks, match the deposit to them rather than adding another sales receipt.
  4. Check that gross sales and the report’s fees, refunds, adjustments and any tax reconcile to the amount received. Agree the account and tax treatment with your accountant.
For report contents, see Reports & Reporting.

Choose a per-payment record

Use Payment Paid as the Newie trigger for either option: Choose one workflow for a sale. Recording both would duplicate it. The trigger runs for every confirmed payment, including renewals and instalments. For BECS Direct Debit it waits for bank confirmation, though funds may still be clearing for payout.

Build the payment workflow

You’ll need a QuickBooks Online subscription with admin permissions, a paid Zapier plan, and Newie connected to Zapier. Prepare the QuickBooks product or service, revenue account and tax codes for the line items.
  1. Create a Zap using Newie Payment Paid and connect the correct QuickBooks Online company file.
  2. Use Find Customer to locate the customer in QuickBooks. Use the returned QuickBooks customer in the receipt or invoice step. Create a customer only if no matching record exists.
  3. Choose Create Sales Receipt, or Create Invoice followed by Create Payment. For the invoice option, map Line Linked Invoice in the payment step to the invoice ID returned by QuickBooks, and use the same customer.
  4. Map the customer and service. Convert Newie’s amount from minor units before filling the line and payment amounts: for AUD or USD, 1060 becomes 10.60. Match the currency, quantity and tax settings so the final receipt or invoice total equals the Newie invoice, without adding tax twice. Use the invoice total before payout fees, not the net bank deposit.
  5. Save Newie’s stripeInvoiceID as a reference for tracing and duplicate checks; it does not replace the QuickBooks invoice ID. Choose the transaction date and check it against Newie. The payment trigger has no dedicated payment-confirmation timestamp.
  6. Test with a transaction you can identify. Check the customer, product/service, total, account, tax code and payment status. Remove or void test records according to your accounting process before turning on the Zap.
See Newie payment fields for currency conversion and sample-field names. You still need payout reports to reconcile the bank deposits: Zapier does not send payout reports or their fee breakdowns. See QuickBooks’ duplicate-transaction guidance.

Customer setup and voided invoices

If you only need to prepare customer records, use Subscription Started with Create Customer when billing begins, checking for an existing customer first. Use Payment Voided to notify your accounts person to review the record. A void is not a refund, so it should not automatically create a refund or credit memo. Last updated: 2026-09-10
