Have the invite and resources ready
You’ll need an Everfit plan that supports Zapier and the relevant onboarding flow, resource collection or program already set up. Connect Newie to Zapier, then decide which Everfit content belongs to each Newie service.Build the onboarding workflow
If you use Payment Paid, add a repeat-action check before the invitation or one-time onboarding step. That trigger also runs for renewals and instalments, so finding an existing client does not by itself tell you whether this purchase has already been onboarded.- Create a Zap with Subscription Started if onboarding begins on the billing start date. Choose Payment Paid for a one-off purchase or when access must wait for payment confirmation, including bank debit.
- Filter on the Newie service’s Offering ID.
- Connect Everfit and use Search Client by Email with the customer’s email. Configure the search to continue when it finds no match. Use Paths by Zapier to separate new and existing clients: invite a new client when no match is returned, or use the existing client’s ID for the assignment steps.
- For a new client, choose Invite New Client and use the customer’s usable email address. Split
user.nameinto the required first and last name fields, checking multi-word names. Set the trainer, client type and invitation-email option. Register Client by Public Invite Link is another option if you use Everfit’s public invite flow. - In each path, add the assignment the service needs: Assign Clients to Onboarding Flow, Assign Client to Resource Collection or Assign Client to Program. Map the Everfit client ID from the search or invitation step; use Get Client’s ID with their email if you still need it. Select the matching content ID and, for a program, complete its scheduling fields.
- Test both paths with email addresses you own: one new client and one existing client. Check the invitation, program or resource assignments, and a repeat payment. Remove the test clients and cancel any test subscriptions when finished, then turn on the Zap.
Review access after a billing change
For Payment Overdue, notify the coach to review the invoice before changing access; payment may still be recovered. For Subscription Ends, first match the NewiesubscriptionID and service to the coaching that ended. Archive Client affects the Everfit client, so check that no other active service still gives them access. It requires the Everfit client ID; Get Client’s ID can find it by email. If the Zap cannot check the customer’s other services, send the coach a review task instead. The trigger also fires when an instalment plan completes, which can mean the customer has finished paying but still has coaching to receive.
